Cheryl we tried to reproduce uploading, we tested with different asset sizes and no Timeouts, you know if this issue is something you or the user can reproduce easily? that way we can share screens while it happens no see if we identify the problem.

Hello Cheryl, I have a fix for the navigation issue, I can deploy it today, and let me do some test with the uploads, looks at first view that the Timeout occurred due an Internet issue or something, let me try couple of uploads to see if I can reproduce it.

@Dieneke- Please see attached, this is a screenshot from one of our photographers but I have heard similar feedback from aonther who experienced conversion issues. Process needs to be seamless when we have large volumes of images to upload and short turnaround times. Please advise.

So this issue was reported by Brian Lipiner <blipiner@babson.edu> who is seeing only a handful of the 1,949 images of the 'globe' keyword. He doesn't see more pages to scroll to. I can see all. Perhaps a permissions issue. Also, the Summary bars is cutoff for both of us.
In regards to this, we need to check permissions and the summary bar, for both accounts

In the past on Entermedia there was a page sorter where you could look back at previous photos, but as recently as a week or so ago it seems to have disappeared? Do you know why that might be?

Hi Nicolas, we see that the activity date is not correctly filled in, so thats why it.s not shown correctly. You can multi select new uploads and fill in the correct date.

We see that there is an export option and then if you copy any of the links from the share settings they are not working. This is the week of commencement and we need to be able to share out the folders we are uploading asap.

Collaboration folder-no telling when assets have finished adding.
Please add something telling users that their assets have been added. Currently it only says "adding"...

Permissions can only be cliked on after the collaboration folder is created, not during the creation process.
Name, Description nor Tags fields are working when creating a new collaboration folder.
When I refreshed the page and tried again, it worked but something is buggy at first.

Hello Nicolas, I can see in the Activity that for every photo there is another file called "._MIZ_XXXX.JPG" Most cameras creates a separate file for metadata or other information, you can see the real files are bigger than 1 or 2 Mb and the "._" files are only 4kb.
I can create an script to remove them, and also I'm adding this to our list to verify if we can prevent ingesting this files when uploading folders so we only get useful files

Hello Marissa, I think the issues you described is better if you can show us while sharing screen during a call, I tried to reproduce it in my own but probably is better if you show us. Please let us know when you have chance, should be a quick call then we work on the issues.

I am having an interesting issue when uploading at the moment. I am currently uploading a large folder with multiple subfolders in it. There is a total of 5,640 assets in the folder. The upload on Entermedia shows up that it has 11,403 assets uploaded. I only uploaded the images once. The folder is 2024-03-18-BCW-Singapore

Search is not populating results that I know exist. I am typing in Shakenna Williams and a lot of images that used to come up are missing.

When I try to select photos the page jumps around and a bunch of broken text goes on the top of the page. It is also very hard to get them to allow me to click the correct one and then hit download.

My entermedia when in activities is not showing anything from 2024. I have to specifically type in Nics events that he is uploading. When comparing my page to Cheryl's in the summary section it shows I only can access 34 Marketing activities while she has close to 130.

Hi Nicolas, yes inside the main folder of an Activity you can create any sub-folder structure you want, you should have the "folder +" icon on the top of the Folder sidebar inside the Activity. I'm uploading a small screen share for you

Acted as the user (as Cheryl mentioned in the email) and found that Babson-User-role does not have permission to Sidebars, we handle Downloads at the sidebar.

I tried to troubleshoot this before reaching out to you because I don’t want to bother you with it!! I’m unable to download anything off Entermedia. It’s really strange. Cheryl, when you add a new user if you do not specify a username (most of babson users are First letter on the name + last name) we will take the email address as a user id, so in your case is better to manually set the username everytime you create an user.

For example, I attempted to delete activity 2024-01-24-Temu-Bajulaiye_nCzarnecki from the system but it still is able to be found and opened. Let me know if there is something in the process I am missing. Thanks!

The plan is to move away from passwords and just use codes. Hopefully that will be working now. We also enabled the Google Vision on files from 2024+ We can go back and do last years files if you think its helpful.

Related to creating new users, you cannot edit their password until the account has been made. You have to go back to Users, search for the new user you just added, and then change their login. Let's have this all in one area like it used to be.

Users are having issues with login, the code isn't working. The workaround is to delete them and create a new account. Need to fix this soon. One recommendation is to have them reset their password via an email link or similar so they can self-service.

After cropping an image and hitting "save" I just get a black screen. I had to click on Downloads again to see my download options. Let's have the Save action take you right backk to the Downloads screen.

Issue with Nic and Marissa about not seeing the Marketing Department was a Permission issue, the Marketing Department was only available for Admin user, I changed this to enable it to the "Marketing" user group which Marissa and Nic belongs.

We were hoping to upload a few photoshoots this week, would you be able to turn this department on for us to access? I have not added a new one to avoid a duplicate marketing folder once the original one is transferred over.

In structure in activities change year 2000 to 1936. not 2000-2023. In all files map.
assigning thumbnail for activities. 1936CollegeYearbooksPics as an example.
2023-09-07-Founder's-Day-Grad_jFernando has a thumbnail but no files.

BabsonARTS is in activities and should be a department.
In structure in activities change year 2000 to 1936. not 2000-2023. In all files map.
assigning thumbnail for activities. 1936CollegeYearbooksPics as an example.
2023-09-07-Founder's-Day-Grad_jFernando has a thumbnail but no files.

General: In the Activities, Departments and People pages, the X in the upper right is hard to see. Can we make it a dark X in a light grey box like it is on the details view area?
Search bar When using search bar, I am not able to search for more than 1 keyword. Let’s say I’m interested in the most recent years. So if I type in 2022 it says there are 64 activities. When I type in 2023 it says there are 172. When I type in “2023, 2023”, or, “2022 2023”, or “2022 and 2023”, it only shows one folder that is named exactly 2022-2023. If I type 2023 and 2024 and 2021, no results show. So the more words I add, the fewer results I get. Are we supposed to add certain keywords so the search is inclusive of all searched terms?

Update on that, I ran the scripte cleared out empty cats and empty Activities, there are some Activities without thumbnail still but I discover those actually contains (most of them) at least one PDF file. PDF files are pending to convert.
That took me to discover most of pdfs are having issues creating document 3000x3000 png, I think I was able to reproduce it locally, but I may need some time to test it bettter.
I'm finishing configuring the Comprafece service and will launch the Face compare scripts in couple minutes.

Yes. We are on the main site we will shut down B later. Cristobal, I am noticing lots of activities do have assets in them so there are no thumbnails. Can you track that down by early tomorrow?

From either the top “Upload to” button, or the “+ New” button… I chose “New Activity” (then I created one) / hit Save / then it doesn’t show the folder created that I should add my assets to, it just takes me to a page with a bunch of planets in there. Can we just go directly from creating a new folder to the uploads area or do we always need to click the upload icon? Also, I can’t find my folder by date when I go to the Activities section (maybe because it’s still moving assets over?)

Documentation is looking great. I've reviewed up to page 44 and made some light edits here and there. I placed big yellow sticky notes where I have recommendations/questions. Will get to the last few pages tomorrow.

Reindexes took 1hr aprox, after that I fixed a typo in the Activities entity and reconfigure it, then regenerated the Activities with the script.
I just tested everything and we are in good shape
Kicked off Regenerate Missing Conversions, will monitor it couple times during the weekend and post some status
We are good for next steps on monday: Enable Faceprofile in-site, and kickoff face scanning.

Do keep in mind that the AI for facial profiling will be started on monday, it might take a week for all the faces to be profiled. The software scans around 7500 faces a day.

BUGS TO FIX - January 9th/2024 For Shakil:
(1)When displaying 20 assets per page in astronomy file area, hiding sidebar summary will cause glitch in format, Then pulling out summary sidebar again will fix it. Better to get rid of page numbers in stacked gallery, better to have infinite scroll.
(2)Glitch is shown while scrolling in grid or gallery view, header and actions menu disappears with scroll and needs to stay stationary. Similar to Babson issue. Need to fix on em11 too.
(3) Clicking on the name on an entity folder in any view causes bug to come up.
(4) Jump to page on entity viewer doesn’t work
(5) Menu is crowded when there are thousands of pages, shows 10 different item numbers, which looks fine when small digits but gets crowded and messy when they are in hundreds or thousands. Suggestion to put EG: “Page xxx of xxxxx” instead, when it gets to be bigger than 50 pages maybe?
(6) Move Search filters to right of the file 42 area
(7) Move Entity breadcrumbs to the bottom part of summary. Use the folder icon style for aesthetic look. In a titled area, explaining what it is.
(9) Get rid of “Files” heading on top of files area accessed by index, add upload button.
(10) Get rid of Files heading and make all one line.

We suggest not using the old site from friday 12th of January at 12pm on. We will migrate all data over the weekend, if you can inform your users not to upload anything, that would be great.

(1) In property viewer, +Add to album brings up a broken pop up, the “X” to close the window does not work, but clicking anywhere behind will close window, List of library items missing scrolling function and is falling off the page. Did not try to add to any album.

The main points from Babson meeting December 14th/2023
1.There were some bugs with Upload button, and when computer goes to sleep during upload. Please refer to these on the most recent entries on the "App testing" Spreadsheets
2. Please add Audience drop down menu to fields for auto create entity fields into "People"
3. Lets see if we can make the collaboration folders more searchable, and easier to navigate. These are going to be used a lot, so the more user friendly the better!
4. We would like to add a feature where instead of just having the option to upload files into collaboration folders, you can browse existing files and add those to the folders as well. This would look like a "Browse existing" Button next to the uploads button.
5. It would be really great to have an efficient and organized workflow and a standardized way to browse assets, favourite/save them, and then be able to add those saved assets to a collaboration folder easily. I suggested doing this with tags, which seems pretty efficient and can be done in only 3 or 4 steps.
6. We need an option to rescan the total assets for facial recognition, in latest update it didn't appear to be enabled properly so I was unable to demo facial recognition properly.

- Clean up conversions to download images. Cheryl will give us a top 5 size conversions, if we can add them that would be great. Original and web size, 5 or 7 total choices.
- Cheryl and designers are interested in:
AI to identify people. Mainly to not be on social media if a person doesn't want to be in photo's. We have that option, Cristobal is working on that.
- Keep babson posted on process
- Google tagging objects, no babson account anymore they have transffered to Microsoft. We could cheryl personal email and babson cc details. They want an estimate, doing the tagging.
- Cheryl wants to know planning of we we want to move b-site to production. Next meeting we will give a timing estimate.

Attached is the example of the source path that is throwing off the search for Spinelli. The folder name has successfully changed but the search is still bringing up Spinelli with lots of photos that are not him. If you could please adjust this folder it would be very appreciated!

- Heic files thumbnails are possible, but they get a conversion error
- My order -> want to see one thumbnail from the set of downloaded pictures
- gear icon / properties is a shortcut to data entities area.
- saved is gone in my dashboard in sticky menu, bring back. Done is a permission thing.
- My files is a permission role, might keep that for certain roles.
- Saved stuff, can she make a create collection / grouping. -> not possible right now. Can look in the future, a want feature.

-As an option in the search bar, can we source a way to upload an existing imeageso the system can find it or one that's similar? For example, see "Search by image" in Getty's site: https://www.gettyimages.com/.
We are often provided found/renamed images so it's hard to know where to find them.

Search results looking good, It is displaying a lot of results, tried to limit with hitsperpage but couldnt make it work, other than that feels responsive. I'm testing in babson with some real data

Finished all the tasks, but there is one issue in the Saved (Favorties) screen. We are displaying 6 favorites (those feet in a laptop screen) but when there are more than 6 what we are going to do? a Link to view all, but were we can see all? Should we expand in place the grid or something? See Screen Shot.

deploy looks good, nice menu structure. i tested a search, asset appeared in popup and showed image. Then clicked on asset, and opened up in pop up.

Progress from today:
-I just added Search Box to Filters popup, I added via description.field, it works great, also added a clear option to clear it, and make it work for the Dialog and the Entities outside.
-I found one of those bugs... Stacked (gallery) view was not loading with the right hitsperpage, also, hits per page was being reset changing the results view. I fixed that, also fixed when boxes looked not aligned in the stacked view too.
-And fixed University catalog in em10 demo, so we can do our tests at https://em10.entermediadb.org/university/find/index.html not in the template site.

End of the day update:
-Fixed the checkbox for individual asset

Filter is not very user friendly, suggestion to add an “Add Filter Button” and make all of the options into one larger popup rather than having two separate windows. Or follow suggestion below to get rid of popup entirely.
Add filter feature needs more explanations beside the different buttons or icons, to help user navigate.
Maybe consider getting rid of A-Z icon in filter editor, because it’s mildly confusing and redundant if you can just click on the table and have it do the same, but it's kinda cute in the sidebar...
Get rid of the word - Thumbnail on the table, and put an option to “show or hide thumbnail” instead. I think Art especially would love a feature like that. To be able to toggle between showing and hiding thumbnail might add extra speed and enhance performance, and reduce redundancy if you are looking at audio files, for example.
Consider re routing the “add filter” button to just go to the sidebar filter editor, It’s more functional, more strategically placed and allows the user to still interact with the table and scroll at the same time. It also highlights the sidebar icon currently labelled “Search” Which will train the user to use the sidebar more. Consider getting rid of the popup window altogether and just using this method.
Rename “Search” to “Filter editor” Or ‘add filters” in sidebar.
ACTIVITIES heading:
Consider changing “grid” name to “carousel” view to have multiple rows showing more entities, and add an actual “Grid” View.
Like originally planned, have 3 views, Carousel, grid and table for all top level entities

How do I do this? I can’t download the whole folder, but is there a way besides downloading each individual picture and uploading them to Entermedia?

After a few try-error I got Babson-B in a better shape than yesterday, short story, asset field sourcepath was incorrect in the local catalog, so I had to fix it before the firs reindex.
I restored before-yesterday snapshot, fixed the fields, reindex (to apply finder catalog fallback), and ran the clean up script.
I think it is ready to start adding Activities and define Departmetns, we can discuss that in our next Dev meeting.

Plan for Fixing Folders:
1. We need to get the tree to really be very relevant to the viewer that you are currently using. Mirroring and have it be like a home, or living room.
2. Export data into spreadsheets, re organize it, then bring It back in. As Christopher and Cristobal are training me while I document the changes they are making.
3. The faculty are attached to the courses, not the courses to faculty. That way if a faculty leaves its not going to create problems in file structure.
4. We are thinking it may be best to take everyone’s individual albums and sort by user profile. We can use these albums like a Junk drawer
5. Courses and departments can be standardized but from courses on down.
6. If we structure from Courses and faculty down, they would have an unstructured entity, which may add flexibility for their database.
7. We can simplify by keeping Marketing projects as an unstructured entity.

9. There are a million General folders, and BabsonARTs folders.

11. Collections and albums, there was some confusions between the two causing issues. Plus libraries was listed too low to make sense. The general and marketing is in there in duplicates or more.

Babson is going from google to sharepoint as we speak. Cheryl will identity users and share that with us,. We will make a spreadsheet of migration, exploring best structures with client, also look what other universities are doing.
